Preparing a bulk transportation bid package
A structured bid package helps a transportation coordinator understand the opportunity and identify questions before a deadline. This checklist covers general planning information, not product, safety or legal requirements.
Set out the opportunity and schedule
Name the procurement event, the contract or project period, the response deadline and its time zone. Identify the contact route for questions and describe how responses should be returned.
Organize the lane information
List origins and destinations consistently, with city, state or province, postal code and country when available. Keep lane identifiers stable across spreadsheets and supporting documents.

- Estimated loads or volume and the applicable period
- Expected frequency or seasonality
- Requested start and end dates
Describe products and facilities
Group product categories clearly and call out information that requires separate operational review. Include known facility hours, appointment processes and loading or receiving notes without assuming a carrier or equipment configuration is already approved.
Share documents securely
The PTC bid form can store a bid-package or procurement-portal URL as text for a coordinator to open manually. Do not submit passwords. Confirm access instructions through your approved procurement process.
